How we LEAD:

Virgin Music Group is looking for an Executive Assistant who has superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and work on tight deadlines in a high-pressure environment is crucial. The ideal candidate will take initiative, identify solutions, and be ten steps ahead of what needs to be done.

How you’ll CREATE:
Day-to-day management of the Virgin Music Group North American President (& Global EVP)’s calendar, scheduling & arranging all meetings, calls, etc
Protect and enhance the President’s image both internally and externally
Coordinate and prioritize incoming verbal and email requests & support planning of critical internal and external events
Book travel, accommodations, transportation, submit and ensure timely processing of expense reports, and execute other administrative tasks
Maintain up-to-date awareness of the President’s obligations to proactively assist and/or anticipate needs
Uphold a strict level of confidentiality, establish, and maintain relationships both internally and externally
Facilitate two-way communications both throughout and outside of the UMG organization
Able to work in a high pressure, fast-paced, detail-oriented function that changes daily
Able to handle multiple responsibilities at a time, and use discretion when necessary
Support various special projects from start to finish including working with others to ensure quality and timely completion
Regular meeting prep and coordination including food ordering, document prep and organization as directed, occasional meeting coverage and note taking
As and when required and directed by the President, offer assistance to the team
Additional duties as assigned

Minimum 3 year of general administrative and/or office support work experience in a corporate environment
Must be a self-starter with the ability to prioritize, organize and establish administrative procedures and work under pressure
Ability to anticipate needs, problem solve and identify solutions
Proven ability to work effectively with senior management and senior-level clients
Ability to manage highly confidential information and to act professionally
Extreme discretion with sensitive information
Dynamic and assertive personality; professional demeanor
