OPERATIONS DIRECTOR
Small team seeks a highly motivated, hard-working, and adaptable candidate to join a
fast-paced and creative workplace in the music business. The Operations Director is a
full-time, salaried position, responsible for managing and carrying out functions related
to Purchasing, Inventory, Product Development, Shipping Logistics, Administrative
Support, and Facilities Management. As part of a nimble team in an exciting field, the
Operations Director may also contribute to Company growth, special projects and new
strategies and endeavors.
COMPANY DESCRIPTION
The “little orchestra” Pink Martini is a touring band which was founded in Portland,
Oregon, by pianist Thomas Lauderdale, in 1994. With headquarters in downtown
Portland, the band has built a strong international following, and the company supports
13 musicians and 4 road crew members in the band’s year-round touring, marketing,
publicity, promotion, and customer relation efforts, in addition to providing the financial
and administration infrastructure necessary to operate. The company also manages the
band’s fully-owned record label, Heinz Records, which supports and manages the
creation of musical products and other merchandise representing Pink Martini. This is a
unique band with a fantastic and loyal fan base, working in the unique and challenging
music business, and the company supports and values the creativity, input, and ideas of
its employees.
PRIMARY JOB DUTIES
• Purchasing Management: research and develop merchandise, identify and
select suppliers, negotiate contracts and pricing, and ensure timely delivery
of goods and services. By maintaining strong vendor relationships, evaluating
pricing strategies, and optimizing stock replenishments, you’ll ensure the
profitable availability of goods and services required by the organization.
• Inventory Management: Monitor and control inventory levels, forecast
demand, evaluate sales performance, manage inventory organization, and
ensure required supply levels. By tracking inventory accurately, and ensuring
optimal inventory levels, you’ll minimize stockouts and streamline supply
chain operations with a fiscally responsible approach. You’ll also supply the
Managing Director with quarterly sales reports.
• Shipping Management: Coordinate the timely shipment and delivery of
merchandize to the tour, and to other customers and recipients, including
international shipping. By carefully managing the tour calendar, and
evaluating shipping methods and providers, you’ll provide the safe and
timely availability of merchandise to the tour, and keep the band’s mail-order
customers satisfied.
Financial Support to CFO: Manage Accounts Payable, Accounts Receivable,
billings, and banking deposits with accuracy and requisite detail. You’ll assist
the CFO with several finance-related tasks, using Quickbooks and other tools,
to help maintain smooth financial operation of the Company.
• Tour Support: Prepare and process tour cash and per diems, maintain fan
mailing list, and maintain guest lists. In coordination with the Tour Manager,
you’ll provide basic administrative support to the band’s tours.
• Webstore Management: Maintain and update band’s webstore, process sales
reports, respond to customer inquiries, and coordinate webstore pricing and
functionality, to ensure that this important point of customer contact runs
smoothly.
• Facilities Management: Maintain Company vehicle, site calendar, filing
system, office and shipping supplies, office equipment and office services. By
keeping the company’s physical facilities running smoothly, you’ll be critical
in maintaining the entire staff’s ability to function at full capability.
QUALIFICATIONS
• To perform this job successfully, an individual must be able to manage each

• Education & Experience: Bachelor’s degree and Purchasing/Inventory
Management experience desired.
• Computer Skills: Comfort and capability with computers and applicable
programs, including Microsoft Office Suite. Requires the use of Shopify,
atVenu, and Quickbooks, for which training can be provided.
• Reasoning: Ability to solve practical problems and deal with a variety of
concrete variables in situations where only limited standardization exists.
Ability to define problems, collect data, establish facts, and draw valid
conclusions.
• Mathematics: Ability to accurately calculate and practically apply figures
such as discounts, interest, commissions, proportions, percentages, and
more.
• Physical Demands: The position often requires lifting and carrying packages
of varying sizes and weights, occasionally up to 30-50 lbs. The ability to push
or pull heavy carts or hand trucks to move packages or goods, climb ladders,
and to bend, stoop or reach for items on lower or higher shelves, including
loading and unloading shipments.
• Teamwork: The ability to work in a creative team environment with a good
work ethic, and a spirit of cooperation and collaboration.
Work Environment: Due to the nature of the position’s job duties, a
significant amount of the work must be accomplished at the band’s
office/headquarters in downtown Portland. The candidate must be
comfortable working in a fast-paced open office, with occasional distractions
(such as a band practice) and interruptions.
• Job may occasionally require hours that exceed 8 hours per day and/or 40
hours per week.
